Legacy AI Zoom App – User Guide
This guide describes how the Legacy AI Zoom App works with the Legacy AI clinician application. Behavior matches the current product implementation.
Prerequisites
A Zoom account with permission to install Marketplace apps (per your organization’s Zoom settings).
Access to the Legacy AI clinician web application to create or open an encounter and start a telehealth visit when using the full workflow.
Zoom desktop client with Zoom Apps / developer tools enabled as required by your environment.
Adding the app
From the Zoom Marketplace
Log in to your Zoom account in a web browser and open the Zoom App Marketplace.
Search for Legacy AI (or use the listing link provided by Legacy AI).
Open the app listing and choose Add (or equivalent) to install the app for your account, following Zoom’s prompts.
Complete any authorization steps shown by Zoom. The app may request OAuth access so Legacy AI can create meetings, read meeting context in the client, and process recordings/transcripts as described in our Privacy Policy.
OAuth and Legacy AI backend
When you authorize the app, Zoom may redirect your browser to Legacy AI’s OAuth callback endpoint to exchange an authorization code for tokens. An in-client flow may also exchange a code via Legacy AI’s API when you use the app inside the Zoom client.
Home / surface URL
The app’s home experience in Zoom loads Legacy AI’s /zoom-setup page, which initializes the Zoom Apps SDK and prepares the in-meeting experience.
Troubleshooting (adding)
Installation blocked: Ask your Zoom admin to allow this Marketplace app or to pre-approve it for your organization.
OAuth or redirect errors: Confirm your organization uses the production app URL configured for the app (for example https://legacy-standalone-production.azurewebsites.net). Retry after clearing the browser cache or use a private window.
In-client OAuth not supported: The app may fall back to flows that completed in the browser; follow prompts or start the visit from the Legacy AI web app (see Usage).
If issues persist, contact Support with screenshots and the approximate time of the error.
Usage
Recommended workflow (telehealth visit)
In the Legacy AI clinician application, open or create a patient and encounter as you normally would.
Start the telehealth flow (e.g., Join meeting) so Legacy AI can initiate Zoom OAuth if needed and create a Zoom meeting tied to that encounter.
Join the Zoom meeting. Open the Legacy AI app in the Zoom client side panel.
The app reads the active meeting context, loads encounter details associated with the meeting, and shows live coaching guidance (plan, expectations, prompts) for the visit.
During the meeting, audio may be processed for real-time coaching (including technologies such as Zoom RTMS where enabled). Coaching state is saved periodically and when the meeting ends.
After the meeting, Legacy AI may retrieve cloud recordings and transcripts from Zoom (when available) and run post-meeting processing (e.g., documentation and analysis pipelines).
Important notes
Meetings created through Legacy AI may have cloud recording enabled per product configuration. Your organization’s policies and applicable laws govern recording and consent.
For the coaching UI to populate correctly, use the workflow that creates the meeting from Legacy AI for that encounter—do not rely only on ad hoc meetings with no linked encounter.
Troubleshooting (usage)
“No active meeting” or missing meeting details: Ensure you joined the meeting created for the encounter and that the app is opened from the same meeting.
Coaching not loading: Check network connectivity; wait a few seconds after joining. If the problem continues, restart the Zoom client and re-open the app from the side panel.
Recordings or post-visit processing delayed: Zoom cloud recordings and transcripts can take time to appear after the meeting ends. If an encounter stays in a processing state longer than expected, contact Support with the encounter identifier (non-PHI summary if possible).
Removing the app
Remove from your Zoom account (Marketplace)
Log in to Zoom in a web browser.
Go to the Zoom App Marketplace, then Manage → Added Apps (or search for “Legacy AI”).
Select the Legacy AI app.
Choose Remove and confirm.
Implications of removal
You will no longer be able to use Legacy AI inside new Zoom meetings under that Zoom account until the app is installed again and authorized.
Removing the app in Zoom does not automatically delete clinical data already stored in Legacy AI systems (e.g., encounters, transcripts, coaching outputs). Retention and deletion are governed by your agreement with Legacy AI and our Privacy Policy.
Data after removal
OAuth access for the removed Zoom installation is revoked as part of deauthorization. Other data generated in the course of using the Services (for example encounter records, transcripts, or coaching outputs) may be retained according to our retention practices, your agreement with Legacy AI, and our Privacy Policy. To request deletion or export of personal data where applicable, use the contact methods in our Privacy Policy.
